e-Document procedure

The e-Document procedure can be used for verifying individuals by relying on the documents they provide online.

For an individual to be verified with the e-Document identity verification procedure, the following rules must be satisfied.

1. Document collection:
  • collect at least one photo of a primary photographic identification document; and

either

  • collect at least one photo of a secondary photographic identification document; or
  • collect at least one photo of a secondary non-photographic identification document.
2. Data collection:

The documents should contain at least the following information of the individual:

  • the full name;
  • the date of birth; and
  • the residential address.
3. Authenticity and liveness checks:

Perform the following checks with computer analysis:

  • document authenticity check;
  • liveness check.

To satisfy the e-Document KYC requirements:

  1. Two ID Documents must be provided:
    • One must be a valid, unexpired photo ID (e.g., passport, driver licence, national ID card).
    • The second must be an accepted supporting document (e.g., another government-issued ID, recent utility bill, or recent bank statement).
  2. Full Name Matching:
    • The full name must be present on at least one of the documents.
    • The same full name or the initials must appear on the second document.
  3. Date of Birth or Address:
    • At least one of the two documents must contain the date of birth or the current residential address of the customer.
  4. Biometric Check:
    • The biometric result (face match) must match the photo on the photo ID document.
  5. Liveness Check:
    • The customer must successfully complete a liveness check to confirm the biometric capture is from a live person and not from a static image or video replay.
  6. Document Format and Source:
    • The documents must be scans or photos of the original physical copies.
    • Screenshots or photos of digital versions (from phones, computers, or other screens) are not acceptable.
  7. Document Validity:
    • All documents must be unexpired at the time of submission.
    • For utility bills or bank statements, the document must have been issued within the last six months.

Rejection reasons

In certain cases, an e-Document KYC cannot be verified and will be rejected. Even though the customer is provided with error messages upon submission and is allowed to correct some of the issues with the documents they are trying to upload, after a certain number of attempts, bronID will allow them to submit the documents they choose to provide.

If there are issues with the uploaded documents, or if the biometrics or liveness check are not performed to satisfy the requirements, the e-Document KYC will be rejected. The rejection reason, or multiple reasons, will be recorded in the Notes section.

Below is a list of relevant rejection reasons that may be included in the notes

Issue Meaning in Context of e-Document KYC Protocol
At least two documents do not meet the requirements for e-Document KYC The customer did not provide two acceptable ID documents as required — one must be a valid photo ID and the second must meet supporting document rules.
An uploaded document is expired The provided ID is no longer valid; documents must be current and unexpired. For utility bills or bank statements, the issue date must be within the last six months.
An uploaded document is not an accepted document type The document type is not recognised for e-Document KYC purposes (e.g., unsupported ID type, informal letter, or other non-approved format).
The biometrics do not match The facial biometric check result does not match the photo on the photo ID document, indicating possible identity mismatch or fraud.
The liveness check was not performed or could not be verified The system could not confirm that the biometric capture was from a live person at the time of verification, which is required to prevent spoofing.
Material data from the uploaded document is missing or not visible Critical information such as the full name, date of birth, address, or other required data is obscured, cut off, or absent from the document.
A key parameter required for e-Document KYC cannot be verified from the uploaded documents Essential details such as full name, initials on the second document, date of birth, or address could not be confirmed from the submitted documents.
The images are blurry or unreadable Poor image quality prevents accurate reading and verification of the document’s details.
The images from an uploaded document are not from a physical copy of the document (e.g., screenshots or photos of a digital document) The submission is a screenshot or digital display capture instead of a scan or photo of an original physical document, which is not acceptable for e-Document KYC.
